What information we collect, use, and why 

When you register with us as a candidate, or apply for a role we are advertising, you provide us with your personal data. We process your personal data, including but not limited to your name, contact details and information from your CV, current benefits and your expectations for future roles. We collect or use the following information for recruitment purposes

  • Contact details (e.g. name, address, telephone number or personal email address) 

  • Date of birth 

  • National Insurance number 

  • Copies of passports or other photo ID 

  • Employment history (e.g. job application, employment references or secondary employment) 

  • Education history (e.g. qualifications) 

  • Right to work information 

 

We do not routinely collect any additional personal data related to criminal convictions, offences or any Special Categories of Personal Data. If we do need to collect this data, we will provide you with additional information as to why it is being requested and how it will be used. 

If you use our website, click on links in emails we send to you, open or forward them, or sign up to receive job alerts or other content from us, we also collect personal data from those interactions. If you contact us, we will also collect information about your enquiry. We collect or use the following information for service updates or marketing purposes

  • Contract: to perform our obligations under a contract with you or to take steps at your request to enter into a contract with us. 

  • Legitimate interest: we collect this information so we can offer our recruitment and consultancy services. 

 

Our lawful bases for collecting or using personal information for service updates or marketing purposes are: 

  • Legitimate interest: to provide you with interesting market developments, sending promotional material and enhancing your user experience. 

Where we get personal information from 

  • People directly. For example, if you apply for a role we are advertising, submit your details through our website, or subscribe to our newsletters. 

  • Publicly available sources. For example, through professional biographical details obtained from publicly available sources such as LinkedIn and social media sites. 

  • Third parties. For example, if we receive personal data from another candidate or an employer who recommends you as a contact. 

How long we keep information 

We will keep your personal data for as long as we need to in order to fulfil the purpose we collected it for, which may be an ongoing purpose. For example, if you’re a candidate, we will retain your personal data for the duration of our business relationship with you and beyond, as we often support candidates with job placements over many years and potentially throughout their careers. 

 Who we share information with 

We will share your information with clients whose role you’re applying for. If your details are relevant for a vacancy for which you have not applied, we will always seek your permission before sharing your personal data. 

We will share your information with external third parties we use to help run our business. For example, with accountants and data processors for our records and database.  

Your data protection rights 

Under data protection law, you have rights including: 

  • Your right of access - You have the right to ask us for copies of your personal data. 

  • Your right to rectification - You have the right to ask us to rectify personal data you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 

  • Your right to erasure - You have the right to ask us to erase your personal data in certain circumstances. 

  • Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal data in certain circumstances. 

  • Your right to object to processing - You have the right to object to the processing of your personal data in certain circumstances. 

  • Your right to data portability - You have the right to ask that we transfer the personal data you gave us to another organisation, or to you, in certain circumstances. 

  • Your right to withdraw consent – When we use consent as our lawful basis you have the right to withdraw your consent. 

 You don’t usually need to pay a fee to exercise your rights. If you make a request, we have one calendar month to respond to you.

How to complain 

If you have any concerns about our use of your personal data, you can make a complaint to us using the contact details at the top of this privacy notice. If you remain unhappy with how we’ve used your data after raising a complaint with us, you can also complain to the ICO.
